You Are Invited. Victoria’s most inspiring holiday event is almost here! We have continued our expanded volunteer roles this year, phoning recipients to confirm pickup, distributing hampers on site and delivering hampers for recipients who cannot get the hampers home.
 
For 25 years we’ve created decorated fresh food hampers for the Salvation Army to distribute to families in need. Last year alone we donated over 6,800 pounds of food—and we’re not talking Kraft dinner and canned tuna—but fresh fruit and vegetables, coffee, butter, eggs, with all the fixings for a festive holiday feast. We have significantly reduced the weight of the hampers by substituting gift cards for milk and frozen turkeys.
 
The ever increasing cost of groceries is an stressful for all family budgets today, and even more so for lower income families and those on fixed incomes. With your help, we are determined to provide 175 families with the fixings for a traditional Christmas Dinner.

Volunteers add decorations to completed hampers before pick-up

We say this every year, but it’s true…Christmas Hamper Party 2024 really was our best party ever
Not only did we fill 175 right-sized hampers, but we increased the value of the Fairways gift cards included for protein of choice, we helped the Salvation Army distribute toys on party day, and we delivered hampers and toys to those unable to collect them due to illness or disability.

Here’s a blow by blow recap of how we did it!
The Elves Meet and Mobilize for ACTION…
In early fall, the Elves began meeting virtually and in-person with High Point Community Church’s new Lieutenants Anjie and Tony DaSilva. It was essential to streamline our buying if we were going to beat the shocking rise in food prices. When the DaSilvas reminded us that many people don’t drink milk, we decided not to include it. Instead, we increased the value of Fairways’ gift cards to $35-50 per family to allow people to purchase what they like. We also eliminated stuffing mix and cranberry sauce; in our multicultural community, not everyone wants a traditional turkey dinner.
 
Food is organized in piles and rows to prepare for hamper buildingArmed with our new battle plan, Elf James Van Dam researched food prices to best allocate this year’s tight budget. The level of detailed planning involved was staggering! We worked closely with the Salvation Army. Once they let us know the size of every family we’d be feeding, James and Elf Paul MacDonald drew up a plethora of spreadsheets to calculate what we needed to buy, down to every apple and onion.  Even after all that, we ended up doing a last-minute Friday night run for more carrots, potatoes and treats.
 
Behind the scenes, Banker Elf Laura MacDonald was busy with her own spreadsheets, answering enquiries and keeping track of donations. Not to be undone in the list-o-mania department, Media Elf Dan Doherty plowed into updating our Mailchimp email list of almost 400 people. He fired off Punchbowl invitations and Mailchimp notices, created updated hamper flow plans for Party day. He and Paul updated our website www.christmashamperparty.org. Enterprising Elf Val Sharp rounded up business donations that landed us free coffee for all the hampers. Elf Joyce breathed a sigh of relief that her jobs were mercifully sans spreadsheets: arranging entertainment, crafting Pulitzer prize winning pleas for donations, and shamelessly hustling potential donors.
 
Once bulk orders were placed on Party week, James and Paul organized the Friday pick-up of thousands of pounds of purchased and donated food to maximize use of our rented truck, so we’d be ready in time for…

7-9 pm Friday Night: PREP TIME!
The Elves had barely arrived at the church when our guitarist Ian Johnston showed up to entertain us, quickly followed by our beloved long-time violinist Marjorie Cullerne. A call for silence, a quick intro by Joyce, and then Elf Dan laid out the evening’s work plan. Everyone dove into prepping supplies for Saturday’s hamper packing fueled on cookies and spurred on by Marjorie and Ian’s festive Christmas carols.
 
Workers set up tables, posted signage, joined together to haul in produce in ‘firefighter-line’ style, then divvied up sacks of onions, carrots and potatoes, cartons of broccoli, apples and oranges. The smell of the oranges, and a 275-loaf mountain of fresh bread, filled the air. At other tables, bulk tea bags were measured out and tucked into cello gift bags. Cases of pies were opened and their contents arranged on tables ready for the next day. With so many thousands of pounds of food it took time just to open all the cartons! This year, our long time Queen of the Refreshment Table, Elf Rhona McAdam, lined up gardeners to haul away all our cardboard for weed control.
 
Upstairs, in relative quiet, Elf Lisa Pacquin and her phone tree team painstakingly called all 175 people hamper recipients to confirm their Saturday pick up time, and to arrange delivery for those physically unable to collect their food.

9-11 a.m. Saturday: THE PARTY BEGINS!

Things kicked off with a bit of party history from Joyce, “To date we’ve filled an astounding 2,891 hampers…” Elf Dan then outlined the packing plan and demonstrated his ingenious Tetris system for packing goodies so the pie sits perfectly level on top. Experienced volunteers took their place at each station. Then it was ready, set, go!
 
Marjorie and Ian played at one end of the hall; Rhona served refreshments at the other. In between, our well-oiled ‘machine’ churned out finished hampers. Smaller hampers went to needy singles: the elderly, disabled and students. The biggest hamper was for an extended family of 14!  Each recipient got bread, butter, eggs, coffee, tea, carrots, onions, potatoes, broccoli, oranges or apples, a pie, Coke, treats and a Fairways gift card for protein of choice ($25 for 1-2 people; $50 for 3 or more)–all topped with one of the sparkly fresh-cedar decorations that Elf Di Madill’s décor team was busily creating upstairs.
 
We have decorated our hampers from the very first party, and we know from the Salvation Army that this added touch is truly meaningful to people. It’s sometimes the only decoration they have. One of this year’s volunteers accidentally delivered a hamper without its gift card. When he returned 20 minutes later with the missing card, the recipient had already hung her decoration on the front door in lieu of a wreath.
 11 a.m. – 4 p.m. Saturday: 175 HAMPERS GO OUT
Upstairs, people began checking in for their hampers and gift cards. Party volunteers hauled finished hampers up the stairs, helped check people in for the toys and teenagers’ gift cards that the Salvation Army was distributing, and carried bags of goodies for the elderly and disabled. Elf Paul had worked out routes for delivery to those physically unable to make it to the church. Armed with addresses, food hampers and toys, our keen volunteer drivers set off.
 As always, it was…a Party!

There were cookies, coffee and hot chocolate for people as they waited and our dear puppeteer Tim Gosley once again delighted kids, and kids at heart, with his beautiful puppet theatre and cheeky hand puppets.
 
People were incredibly grateful to receive our help. In the course of the day we heard heart breaking stories of cancer and broken bones, felt for immigrants struggling to communicate in a new language, and watched shy children come out of their shell as they interacted with Tim’s puppets.
 
All of us who donate to keep the party going are equally grateful for the opportunity to give to those who need it most. On Friday night, a volunteer who’s been to every party since 2001, pulled Joyce aside to share that a granddaughter, now 23, told her Christmas Hamper Party changed her view of Christmas forever. She now celebrates the season by volunteering for various charitable causes.

Summer 2024 Update

Exciting summer update!

Dear Christmas Hamper Party fans,

Each year we receive last-minute donations too late for us to spend on Party Day. This is actually a good thing because it gives us a small amount to holdover for early sales of staples the next year.

Last Christmas, we were blessed with more last-minute donations than ever before! Because we do not like to hold more than a minimal amount of cash in our bank account and, since our mission is to feed those in need….

Christmas Hamper Party is donating an additional $1000 to the Salvation Army for much needed dairy and produce items to top up their ongoing pantry! These more expensive items are always in short supply and are in line with our tradition of providing those in need with wholesome fresh food.

So…It’s going to be Christmas in June for some of our neediest neighbours—and all thanks to you!

Christmas Hamper Party 2023 Final Report

And the 2023 final hamper count is… 250 beautifully decorated fresh food hampers!

Here’s how with your help we pulled off this epic endeavour…

PLOTTING & PLANNING

It was summer when Organizing Elves James van Dam, Paul MacDonald, Dan Doherty, Laura MacDonald, Val Sharp, Lisa Pacquin and Joyce Kline met with Salvation Army High Point Church pastors Josh and Kassie Cain to plan this year’s party. By fall, armed with updated spreadsheets on everything from the Potatoes Per Person Ratio to the Cranberry Sauce Comparison Price Index, the team had mapped out our “investment” strategy.
 
We knew we’d need sympathetic local businesses to donate, or sell at cost, massive bulk orders of food.  The thousands of dollars’ worth of freebies they offered were beyond our wildest expectations! (More on those saintly donors below.)  Elf Sally Glover joined the team and signed up even more businesses.
 
Now Elf Dan could begin mailouts to individuals and, with Elves Paul and Val, update our website and Facebook pages. Food banks across the country may have been short on donations, but Hamper Party people are all heart. They dug deep and gave in record amounts keeping Banker Elf Laura busy as donations from $20-$1,000+ flooded in.
 
While Elf Joyce planned entertainment, Décor Elf Di Madill went into action.  Having already shopped for holiday ribbons and decorations on sale after Christmas, she readied her team for pre-preparing the 250 hamper decorations they’d wire onto fresh cedar boughs on party day. 

7-9 pm FRIDAY NIGHT: PREP TIME!

The Elves showed up first, followed by guitarist Ian Johnston and violinist Marjorie Cullerne, who have so joyously entertained us in the past. With Covid restrictions gone, High Point could accommodate more volunteers. Almost 50 eager volunteers listened as Elf Dan laid out the evening’s work plan. Then, to Marjorie and Ian’s Christmas carols and show tunes, everyone dove into prepping supplies for Saturday’s hamper stuffing.
 
Workers set up tables, posted signage and hauled in and divvied up massive bags of onions, carrots and potatoes, cartons of broccoli, brussels sprouts and oranges, and sacks of perfect backyard apples. You could smell the hundreds of loaves of fresh bread and the coffee being scooped into bags. At smaller tables, bulk tea bags and candies were measured out and tucked into cello gift bags. Cases of cranberry sauce, Christmas cakes, stuffing mix and pies were opened and their contents arranged on tables ready for the next day. With so many thousands of pounds of food it took a while just to open all the cartons! Luckily, Elf Rhona McAdam was on hand, as always, to fuel us all with cookies.

9-11 am SATURDAY: THE PARTY BEGINS!  

Things kicked off with a bit of party history from Joyce (over 23 years we’ve filled an astounding 2,716 hampers). Elf Dan then outlined the plan for the day and demonstrated how to properly pack goodies so everything fit into shopping bags without being crushed and it was…ready, set, go!
 
While Marjorie and Ian entertained at one end of the hall, Elf Di’s décor team worked their way through a veritable mountain of cedar boughs, churning out decorations for finished hampers. Elf Rhona presided over refreshments at the other end. In between, our well-oiled “machine” churned out finished hampers colour coded by family size.
 
Each hamper held milk, eggs, bread, butter, coffee, tea, carrots, onions, potatoes, broccoli (plus additional brussels sprouts for larger families), oranges or apples, cranberry sauce, stuffing mix, a pie, a Christmas cake, candies, toothpaste samples and a $25 gift card ($50 for large families) for protein of choice, all topped with a sparkly cedar decoration. The largest number of hampers went to needy singles: the elderly, disabled and students. The biggest hamper was for an extended family of 14!

11am-1 pm: HAMPERS GO OUT

As hampers piled up in the hall, volunteer drivers made floorspace, loading up hampers to deliver to people physically unable to pick them up at the church. Outside, the skirl of Piper Elf Josh McDonald’s bagpipes celebrated our progress.
 
By now, people were arriving to pick up hampers. Marjorie on violin, Ann Schau on keyboard and puppeteer Tim Gosley were once again on hand for entertainment as they signed in upstairs. Many had never had to ask for help before so we wanted the puppetry, live music, cookies, coffee and hot chocolate to create a festive atmosphere. People were unbelievably grateful to receive our help, often overwhelmed by how much beautiful food they were receiving, especially the fresh vegetables. Volunteers also delivered a number of hampers for those having difficulty getting out.

In spite of unprecedented food prices, generous Hamper Party people and businesses are rising to the challenge. Though they may be watching their own spending, they’re donating as much, sometimes more, than in previous years, recognizing that there are those who aren’t just lacking wholesome fresh food—they’re lacking food…period.
The Elves have hustled for donations, comparison shopped, placed massive bulk orders, and planned and schemed to make this our best party ever. We are over 2/3 of the way to our financial goal and just need that final wave of donations to fill 250 hampers in spite of inflation!
 
2. We need to hear from you ASAP!
 
If you haven’t donated yet, please do so by December 12.  If you’ve already donated, invite a friend who might also want to contribute. Having a broad base of support is what’s kept the party going for over 20 years and insures we’ll still be there for those in need in the future.  People really do want to help their less fortunate neighbours. 5. Who’s getting our hampers?

The Salvation Army has given us a breakdown of the sizes of families requesting our hampers this year. They include seniors and the disabled, single parents, and families ranging from 3-7 members, all struggling to make ends meet. Many have never had to request a hamper before. Every beautiful hamper we fill shows someone in need that we care and that they are not alone. We’ve always decorated our hampers to feel like gifts, not handouts. Now we’re going even further!

6. Live Entertainment

Once again this year, puppeteer Tim Gosley, fiddler Marjorie Cullerne and keyboardist Ann Shau will spread holiday cheer with free live music and puppetry for people picking up their hamper.

Over the past 20+ years, our heartwarming annual tradition has evolved and grown in response to the ever-increasing hunger in our community.

Last year we had a record 216 Hampers. The need is even greater this year.
Our goal this year is 250!!
Music and a show for the children – of all ages

We have a few changes this year. These are things that we tried last year, and they worked very well.

Here’s this year’s plan! – over two (2) days:
 
On Friday night we will gather and set up the hall for the main event. We will also be organizing all the non-perishable food items.

On Saturday we will be assembling and decorating the food hampers. We will need teams of people for this event, and we will need a team to manage the recycling as we go. This year we will have a new team to deliver hampers to those who are unable to pick them up.

The sign up for these is on the Potluck page of the invitation that you received. If you did not receive an invitation, please email us christmashamperparty@gmail.com and we will send you one.
 
On both days we recommend that you wear masks, and we provide a sanitation station

How can you help?

BULK PURCHASING IS WHAT MAKES IT WORK

We used to have people bring all the actual fresh food items for our hampers but found we can create 5x more hampers by doing bulk purchasing. Fri, Dec 16 — 7:00-9:00 PM — set up and bag non-perishables
Sat, Dec 17 — 10:00-1:00 PM — package the perishables and build the hampers

Over the past 20+ years, our heartwarming annual tradition has evolved and grown in response to the ever-increasing hunger in our community.  We’re repeating what’s worked in the past and making some changes to create a safe event. 
 
Here’s this year’s plan! – 2 shifts of 25 people each to:
 
SHIFT OPTION 1. Fri, Dec 16 — 7-9 PM — bag non-perishable items, OR
SHIFT OPTION 2. Sat, Dec 17 — 10 AM-1 PM — build the hampers

Plus a new shift to deliver hampers to those who are unable to pick them up.
 
On both days we will require masks, and provide a sanitation station.

2021 Hamper Report

The The Final Count…Neither wind, nor rain, nor supply chain disruption and Omicron could stop Christmas Hamper Party from providing the Salvation Army with—drumroll, please!—201 hampers, plus cases and cases of additional veggies and 500 paper bags for their food bank. 

So much this year was new…  

We had a lot to figure out: layout for our new venue at High Point Community Church, how to coordinate filling two shopping bags instead of a single hamper, and how to divide the work into two sessions to maintain Covid-safe numbers.  Only hours before party time we decided we should try to get by with even fewer volunteers, mostly families who shared a bubble, and asked single volunteers if they would stay home.  This was a tough decision and we’re grateful everyone was so understanding. 
 
In the end, challenges created innovations that turned out to be improvements.  Two bags were easier for recipients to carry and gift cards were a heck of a lot lighter than turkeys!

Friday night was all about the prep.  

Our Friday night volunteers set to work getting us ready for Saturday’s big event.  To Marjorie Cullerne and Ian Johnson’s lively music, workers bagged more than 520 pounds of bulk carrots, 630 pounds of potatoes, 600 onions, 1200 oranges, 3000 tea bags, and 100 pounds of fragrant Level Ground coffee.  We knew we’d have to be as prepared as possible for packing the perishables next day, because it actually takes a surprising amount of time just to open that many cases of stuffing mix, cranberry sauce, pies, treats, packaged cookies…and then there’s flattening all that cardboard for recycling.
 
Saturday we added perishables…and more.
 
Now it was time to open icy crates of emerald green broccoli and bag up over 400 pounds of it!  The amount of food was staggering: the root veggies we’d bagged and the hundreds of boxed pies, cookies and stuffing mix we’d stacked the night before—plus 200 cartons of eggs, 400 litres of milk, 210 pounds of butter and a mountain of bread loaves higher than this vertically challenged Elf’s head!
 
Elf Dan had worked out a floor plan for the tables so that people could pick up the heaviest items in each bag first and proceed down the line adding lighter items last.  The big question was “With our new two bag system, how do we most efficiently make sure each recipient has everything they need?”  After a wee bit of experimentation, all systems were “go” and our well-oiled hamper party machine went into action.
 
At one end of the room—armed with tongs to make sure we all stayed Covid safe—Elf Rhona presided over homemade cookies and drinks.  At the other, Marjorie played Christmas tunes on her violin.  In between, James Mitchell, who set up our livestream, took photos as workers moved down the line collecting items for both bags before hauling them to the next room to be crowned with fresh cedar decorations courtesy of Elf Di’s décor team.
 
At last the finished hampers were ready!
 
To preserve recipient privacy, we don’t give out hampers ourselves, but when we imagined how difficult it might be for some people to ask for food aid, we couldn’t resist budgeting for an extra Hamper Party touch.  As each recipient picked up their hamper, along with their bulging bags of goodies and a $25 Fairway gift card, they also got a little chocolate Santa.

Here’s how your donation was spent.
 
We were overwhelmed by the donations we received.  Normally, we don’t reveal the names of individual donors, but how can we resist a shout out to 9-year-old Janner who wasn’t able to attend this year and instead donated his allowance savings?
 
The final results of this year’s party?  Thanks to your generosity and that of our incredible business donors, for $11,400 we donated 201 hampers plus tons of extra veggies. That’s just $56.61 per hamper!

We deeply missed our piper Josh MacDonald’s bagpipes this year but, alas, turns out bagpipes are a potentially comfy home for Covid viruses.  Josh can’t regale us, but here’s a one-minute bagpipe Christmas carol medley to end this year’s party:
